The Executive & Facilities Assistant will support the management and maintenance of the company's facilities, ensuring a safe, efficient, and well-organized working environment for all employees.
This role will also provide support for Managing Directors and Vice Presidents seated in Buenos Aires.
This role is crucial for the daily operations of the office and requires a proactive approach to problem-solving and a high level of attention to detail.
Responsibilities
Provide a full range of support services for the Leadership team including: helping with calendar management, planning events, scheduling travel and creating documents.
Assist in overseeing the general maintenance and upkeep of office spaces, ensuring that common areas, offices, and meeting rooms are in good condition.
Coordinate with vendors and contractors for repairs and preventative maintenance of equipment and facilities.
Manage office supplies and equipment inventory, ensuring availability at all times.
Collaborate in the management of cleaning and security services.
Provide logistical support for internal events, including conference room setup, audiovisual equipment, catering, coordinate the logistics with the providers, and provide administrative support to the teams.
Respond to and resolve any facility-related issues, escalating to the Facilities Manager as necessary.
Ensure compliance with health and safety regulations within the workplace.
Assist with office space planning and the coordination of moves and changes.
Support other administrative duties as required by the HR Local team.
Provide support in the administration and distribution of office lockers with their respective keys and organization.
Be the point of contact for this matter.
Manage the company vehicle benefit for employees: make the request to procurement, support the administrative tasks, control the administration of the assigned units, generate reports and compile information to be shared with Finance.
Support the organization and completion of local campaigns (Christmas Gifts, Back to school kits, etc).
Makes travel reservations and coordinates schedules for visits.
Assists in preparation of presentations and supporting documentation.
Receiving and encoding invoices, and requesting purchase orders as needed.
Manage the expense accounts of the VPs, Director and the team members.
Identify and implement efficiency improvements.
Ensure compliance with company policies and procedures.
Qualifications
Education:
High School Diploma required.
Two-year degree with business concentration a plus.
Language:
English proficiency is required [B2].
Experience
Previous experience in facilities management or a related field is preferred.
3+ years of supporting a VP-level executive.
3+ years office manager experience.
Skills
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Excellent communication and problem-solving skills.
Proficiency in basic office software (Microsoft Office, email, etc.).
Advanced knowledge of office automation tools: Google suite preferred.
Ability to work independently and as part of a team.
A proactive and detail-oriented approach to work.
