This role partners directly with leadership to turn ideas into action, build scalable systems, and drive operational excellence across executive support, marketing ops, and team coordination.\nThree pillars of the role\nBusiness Operations Accounts payable/receivable, invoicing, deal flow project management ,making sure paperwork goes out, order forms get created, the right people are coordinated with, and nothing stalls.\nExecutive Assistance Inbox management, calendar, conference prep, and keeping our Managing Director organized and on track. HubSpot and Mobley ownership (marketing ops side, not creative, just execution and maintenance).\nInternal Team Management Own relationships with HireMango team members. Coordinate with Director of Operations on client experience feedback loops. Deliver coaching conversations and difficult feedback when needed. Responsibilities:\nOwn daily prioritization and anticipate leadership needs before they ask\nProject tracking, follow-ups, and accountability across teams\nPlan and execute conferences: research, logistics, agenda, and on-site coordination\nBuild and maintain targeted lead lists using Sales Navigator and other sources\nManage executive calendars, inbox, and meeting coordination\nOversee payroll, invoicing audits, budget tracking, and financial reconciliation\nOwn HubSpot: client data, workflow hygiene, and pipeline accuracy\nBuild and maintain SOPs that document how things actually work\nLead structured screening calls as needed to maintain delivery standards\nRun 1:1s and keep team cadences sharp and effective\nProvide coaching and development for internal team members\nIdentify delivery gaps and build the processes to close them Requirements:\n8+ years as a Chief of Staff or Executive Assistant to executives managing globally or regionally distributed teams\n3+ years of team management experience\nExceptional communication and stakeholder management\nStrong attention to detail and documentation discipline\nProcess-oriented mindset with proven ability to build systems that scale\nAI-first thinker — uses AI daily to improve and automate processes\nComfortable operating independently in fast-moving, ambiguous environments\nOwnership mindset — finds the missing piece before leadership has to ask Software and Tools Used: PM: Jira, Confluence, Airtable CRM & Sales Ops: HubSpot, LinkedIn Sales Navigator, Mobly, Aimfox, SignWell Finance: Stripe, Wise AI: Claude, Gemini Collaboration: Google Workspace, Slack Benefits:\n10 vacation days 10 paid local holidays\nHireMango coaching and development\nMake a real impact in the lives of team members around the world
