IT Business OperationsJob Summary:
IT Services provides service delivery to EY. GSS centers in Dalian, Buenos Aires, Wraclow, Manila and Kerala are strategic locations for several IT Services teams. These are some of the IT Services teams that operate from these locations: GHS, GO, GEUTS, BSM, SPM, Service Delivery, EISA, Security Assurance, Cross Organization Service DeliveryThis position has the overall responsibility to assist the Location Leader with the administration of the IT teams in the GSS IT location. A professional who can help manage the overall IT services delivered from that facility, support and facilitate the operations to ensure that all teams can perform within the expected results and time lines, services go live on time, infrastructure services are provided to the teams to perform their functions, help with the backfills so they are done on time, assist the Location Leader to resolve local logistic issues that the teams might face in the day to day operations.The person will work closely with the Location Leader to help with different functional managers in the IT teams to facilitate service delivery and help with people management. The person in this role should also interact with the functional leaders, the People Managers and the People Coordinators, and help the Location Leader build and maintain excellent relations with them. This individual shall posses some knowledge on Operations management, Transition management, People management and good customer relationship skills.Essential Functions of the Job:- Work closely with the GSS IT Location Leader to help resolve the IT functional teams logistic matters
- Coordinate and schedule monthly meetings with new joiners, local People Managers, People Coordinators, staff, etc. Be responsible of the logistics necessary for these meetings (conference rooms, technical resources, coffee breaks, lunch and refreshment.
- Actively control and monitor people assistance, work from home schemas, absence control, sick leaves, medical certificates, special licenses, vacation requests, overtime approval, on call schedules, etc., and immediately report to the Location Leader any deviations.
- Interact with the Recruiting and HR teams to gather information or help resolve any recruitment issues.
- Help coordinate and schedule all monthly catch up calls with the teams’ functional leaders.
- Compile and update all necessary information to prepare the agenda to be discussed during these meetings.
- Be involved in the Business Continuity and the Disaster Recovery Plans for the GSS location.
- Facilitate travel and other logistics for staff going out of country for training or team meetings. Facilitate logistics for in country training conducted by service delivery heads/leads.
- Help with local issues like transportation of staff, shifts, and staff allowances
- Update and maintain on a daily basis all recruitment related reports that will be presented to the leaders.
- Perform a monthly reconciliation of all closed and open positions against the WFM tool and report any discrepancies. Follow up on any amendments necessary to correct them.
- Follow up with all parties involved to gather the necessary information for the weekly leadership report. Update the report and have it ready on a timely manner.
- Compile and update the monthly leadership report based on the weekly reports. Have it reviewed and approved by the Location Leader before delivery.
- Actively work in the preparation of the annual leadership report and present it on time to the Location Leader to review and approve.Work closely with ‘Guest Relations’/’Mobility’ to ensure that business visits of the leaders are efficiently handled and productive. Follow up and take care of any logistic needs (conference rooms’ reservations, hotel reservations, car transportation, meetings’ logistics, etc.).
- Facilitate on-boarding of new staff. Work with OSS to ensure all hardware is ready on time and coordinate with the local teams’ People Managers/People Coordinators that a work space is assigned to the new joiners. Track and maintain all necessary records.
- Periodically assess and update the work from home schemas within each team to ensure the work spaces assigned to each team are enough and well administered. Immediately report any deviation so it can be assessed and remediated in a timely manner.Knowledge and Skills Requirements:- Excellent interpersonal and communication skills including the ability to build relationships and effectively interact with HR and Recruiting team, IT functional local People Managers, People Coordinators and functional leaders,
- Excellent English skills (written and oral), advanced level preferred.
- Excellent domain of Excel, Power Point and Word.
