The Conservation & Administrative Assistant provides a full range of technical and administrative support to the Argentina Conservation Director and Conservation team. He/ she provides overall project assistance and carries out research as integral part of the Argentina Conservation team, working towards the achievement of conservation and stewardship goals. He/she also collaborates in arranging the logistics of workshops, meetings, and other events, paying attention to the selection of venues, the organization of agendas, and the compilation and edition of reports with conclusions and recommendations.**WE'RE LOOKING FOR YOU**:
In the Conservation capacity of the role, the Assistant will manage conservation data, participate in conservation planning, develop project packages, respond to inquiries, and maintain project records. Activities could include collecting, assembling, and analyzing various types of data, in the field or through document surveys, producing maps and assisting in the production of reports. Work may be done in the field or be based entirely in an office setting, compiling the information collected by others. He/ she will have frequent interaction with staff throughout the program and in other Conservancy offices, and with vendors. He/ she may handle inquiries about Program activities and assist in the development of Program materials and correspondence.In the Administrative capacity of the role, the Assistant will be responsible for a variety of administrative support tasks, which may include assisting in domestic and international travel arrangements of the Conservation and Program directors, calendar management, processing expenses, and scheduling and coordinating logistics of meetings and special events. He/ she will effectively communicate or distribute information to assist Conservation staff in making decisions, solving problems, and improving workflow. He/ she will implement processes and practices in order to improve effectiveness, and will perform administrative functions for Program, as required.S/he will communicate on behalf of their supervisor with staff in various programs across the Conservancy, as well as with donors, vendors, and business unites.He/ she uses TNC code of conduct and competencies as a baseline to conduct their actions and be an example for others.**RESPONSIBILITIES & SCOPE**
- Serves as team member for assigned Conservation projects, as a resource to solve problems and provide input for the development of projects,
- Assists the Conservation Director and other staff in the preparation of Argentina’s regular team meetings, streamlining process for the setting of the agenda, as well as any other needs to make the meetings and follow-up actions more effective. These may include organizing a Team’s dedicated channel of communication and calendar,
- Performs a range of operational/administrative tasks such as resolution of logistics, travel arrangements, and contract management,
- Provides support during strategic planning processes,
- Supports the development of HUB platform in coordination with Conservation Director and strategy leads,
- Identifies routine problems and utilizes existing resources for resolution, referring difficult questions/decisions to the supervisor,
- Supports the Contracts Specialist in the development, management, and maintenance of a detailed document database for all the Program’s legal files, both in physical and digital formats. This entails identifying and quantifying all pertinent files, tracking down missing items, and creating a catalogue for subsequent users,
- Maintains limited financial responsibility, which will include processing invoices, preparing accounting forms, purchasing, or creating travel expense reports,
- Actively participates in committees (safety & any other pertinent, as identified by Program leadership),
- Performs duties under general supervision and established guidelines,
- Does not supervise any staff, but may help plan and direct the work of volunteers or interns,
